Terms and conditions

1. Tour Services and Golf Course Bookings

Best Endeavours Commitment: The Tour Provider will use its best efforts to book the golf courses, accommodations, and experiences discussed and agreed with The Client. However, specific golf course availability and other elements may depend on third-party availability and scheduling constraints.

Course Availability: The Tour Provider cannot guarantee bookings at specific golf courses advertised or requested. Where changes are necessary due to factors beyond The Tour Provider’s control, alternative arrangements of a comparable standard will be offered.

2. Letter of Introduction from Home Golf Club

Requirement for Access to Premium Courses: To ensure access to premium golf courses in Australia and New Zealand, The Client must provide a formal letter of introduction from their home golfing club. This letter must confirm The Client’s membership status, good standing, and adherence to the rules and etiquette of the club.

Submission Deadline: The letter of introduction must be submitted to The Tour Provider at least sixteen (16) weeks prior to the start of the tour. Failure to provide this documentation may result in limited access to certain golf courses or venues. The Tour Provider is not liable for any restrictions arising from non-compliance with this requirement.

3. Behaviour, Dress Standards, and Local Golf Course Rules

Appropriate Conduct:
The Client agrees to behave in a respectful and courteous manner while visiting golf clubs and other venues in Australia and New Zealand. Any actions that may bring disrepute to The Tour Provider or its affiliates will not be tolerated and may result in the termination of The Client’s participation in the tour.

Dress Standards:
The Client must adhere to the dress standards of all golf clubs visited during the tour. This includes wearing appropriate golf attire, such as collared shirts, shorts or pants, socks and approved footwear. Denim, cargo shorts, tracksuit pants and other prohibited attire will not be permitted. Each golf club may have specific dress code requirements, and it is The Client’s responsibility to comply with these rules.

Adherence to Local Rules:
The Client must follow all local playing rules and etiquette of the golf courses they visit. This includes observing pace-of-play guidelines, course maintenance rules (e.g., raking bunkers, repairing divots), and other club-specific regulations.

Golf Cart and Pull Cart Use:
The Client acknowledges that golf cart hire may not be available on all courses. Many courses require players to walk and use pull carts, which will be arranged where necessary. The Client agrees to these conditions and accepts that walking may be required to fully experience premium courses.

4. Third-Party Suppliers and Agents

Reliance on Third Parties: The Tour Provider works closely with third parties, including airlines, hotels, golf courses, fashion retailers, golf club transport companies, sporting and entertainment venues, restaurants, and clubs to deliver a high-quality experience. These parties act as independent agents, and The Tour Provider is not liable for their actions, omissions, or adjustments to planned schedules.

Non-Liability Clause: The Tour Provider is not responsible for delays, cancellations, or other issues caused by third-party providers. While efforts are made to ensure smooth delivery, changes by third parties may impact the itinerary and are beyond The Tour Provider's control.

5. Payment Terms

Deposit and Final Payment: To secure a booking, a non-refundable deposit of 50% of the total tour cost is required no less than twelve (12) weeks, or 84 days, before the tour start date. The remaining balance must be paid in full by the final payment date specified in the contract, and is non-refundable once paid.

Non-Refundable Payments: All payments made after the final payment date are non-refundable. The Client acknowledges and agrees to these terms upon confirming a booking.

6. Cancellation Policy

Cancellation by The Client: Cancellations must be made in writing to The Tour Provider. If The Client cancels after the initial deposit but prior to the final payment, the deposit will be forfeited. Cancellations after the final payment date will result in the forfeiture of the entire tour cost.

Cancellation by The Tour Provider: The Tour Provider reserves the right to cancel the tour at any time due to unforeseen circumstances or operational needs. In such cases, The Tour Provider’s liability is limited to the refund of tour payments made by The Client. The Tour Provider is not liable for any additional costs incurred by The Client due to tour cancellations.

7. Travel Insurance

Insurance Requirement: The Client is required to obtain comprehensive travel insurance covering trip cancellation, medical expenses, personal liability, and other potential risks associated with travel. Insurance must cover the entire duration of the tour.

Insurance Verification: Proof of travel insurance, including the policy number and emergency contact information for the insurer, may be requested by The Tour Provider prior to the tour start date.

8. Non-Golfing Companions

Non-Golfers and Add-Ons: Non-golfing companions, such as spouses or significant others, are welcome to join the tour and may participate in additional activities arranged by The Tour Provider. Customized experiences and activities for non-golfers can be added to the tour for an additional cost and as discussed and agreed between GSL and the client. Non-golfers will share accommodations with golfing participants unless otherwise requested.

9. Concierge Services

24/7 Concierge Availability: A dedicated concierge is available to assist The Client and provide support throughout the duration of the tour. This service includes assistance with scheduling, reservations, and general inquiries.

Service Limitations: While the concierge service aims to accommodate all reasonable requests, The Tour Provider reserves the right to decline requests deemed excessive, beyond the scope of standard service, or otherwise unreasonable.

10. Visa, Health, and Immigration Compliance

Client Responsibility: The Client is responsible for ensuring they meet all visa, health, and immigration requirements necessary for travel to and within Australia and New Zealand. This includes obtaining appropriate entry visas, valid health documentation, and ensuring passport validity of at least six months from the tour end date.

Non-Compliance Liability: The Tour Provider is not liable for any costs or issues arising from The Client’s failure to secure necessary travel documentation or to comply with entry requirements set by Australian or New Zealand authorities.

11. Tour Itinerary and Pricing

Itinerary Variability: The tour itinerary, including specific golf courses and accommodations, is agreed upon in advance but may be subject to change based on availability and market conditions.

Price Adjustments: Due to market fluctuations, pricing and availability of services may vary. The Tour Provider will inform The Client of any significant changes to costs or itinerary items in advance.

12. Acceptance of Terms and Conditions

Agreement and Acceptance: By making a reservation, The Client acknowledges and agrees to all terms and conditions set forth in this Agreement and any additional terms specified on The Tour Provider’s website or booking confirmation.

13. Liability and Limitation of Responsibility

Limitation of Liability: The Tour Provider acts only as an agent in arranging travel services and assumes no responsibility for personal injury, property damage, or other loss due to events or actions beyond its direct control. To the fullest extent permitted by law, The Tour Provider disclaims all liability for damages or losses resulting from the actions or negligence of third parties or unforeseen circumstances impacting the tour.
